At a glance: Polk County real estate lead lists
- In stock: foreclosures, pre-foreclosures, code violations, probates, pre-probates and inherited property. Polk County has no eviction or divorce lists on the shelf.
- Coverage: each file holds one county, here Polk County, Florida, within a catalog that spans 2,000+ US counties.
- Origins: the Tenth Judicial Circuit, the Polk County Clerk of the Circuit Court and Comptroller, county and city code offices, and parcel records.
- Delivery: downloadable files for Excel, Google Sheets and CRMs, sold as weekly or monthly periods, so you pay only for the periods you want.
- Freshness: the underlying data is updated daily, and weekly files are refreshed by the close of Thursday.
- Rates: from $0.10 per record (foreclosures) up to $0.15 (probates, pre-probates, inherited, pre-foreclosures), with code violations from $0.14.
- Extras: optional skip tracing, Standard at $0.10 per record or Premium at $0.15, and DNC scrubbing on request.
Plan for modest files. Polk weekly files are on the small side, and inherited and pre-foreclosure files are currently posted by the month. That makes one week a cheap trial, but a month or a subscription is the fairer test of any record type.
How Polk County's courts and records fit together
Each lead type starts as a filing in a particular office. Knowing the office tells you what a row proves, what it cannot prove, and where to check it before you write to anyone.
The circuit, the courthouse and the Clerk
Polk County belongs to Florida's Tenth Judicial Circuit, together with Hardee and Highlands counties. The circuit's own description lists five divisions: Civil, Criminal (Felony), Family, Juvenile and Probate. Its courthouse locations page puts the Polk County Courthouse at 255 N. Broadway Ave. in Bartow, with a Lakeland branch and a Northeast Polk Government Center in Lake Alfred. Bartow is the county seat (a reference-work cross-check), and Lakeland is the largest city.
Case files belong to the Clerk of the Circuit Court and Comptroller, whose Court Records page lists foreclosures, probate, wills and estates among its civil record types and says its portals show the docket, filed documents, court dates and party information. The civil portal itself did not load for our automated checks, so test it in your own browser. Original wills go to the Bartow courthouse only, according to the Clerk's Wills and Estates page.
Recorded documents and copies
Deeds, mortgages, liens and similar instruments sit in the Clerk's Official Records. The Official Records page describes an online database from 1957 to the present covering more than 350 record types, plus historical deeds back to 1861. It does not say whether searching is free. The records requests page says many records are available as free unofficial copies, while certified copies are a separate service. Fee amounts are on the Clerk's fees page, and we quote none of them.
Code enforcement is split by government
Florida lets each county and city choose its own code enforcement system (s. 162.03). Polk County's Code Enforcement unit enforces the county's land development code from 330 W. Church St. in Bartow, and unresolved cases go before a special magistrate. The county's FAQ says information on complaints and violation cases is not available online without an official public records request. Winter Haven and Bartow publish their own code pages. Parcels inside a city normally answer to that city, so one Polk file can combine several governments.
Ownership and parcel data
The Polk County Property Appraiser supplies the parcel, assessed value and building details that many lead files rely on. Its website would not load for our tools, so we describe none of its features and link no page. A recent sale may not yet show in parcel records, so confirm ownership before you act on a row.
The six Polk County lead lists
Probate lists
A probate list follows estates already opened with the Clerk. Under s. 733.101 the usual venue is the county where the decedent lived, and under s. 733.2121 creditors are notified by newspaper notice, which is part of why estates stay open for months. The Polk file names the case number and filing date, decedent, property and mailing addresses, parcel ID, assessed value, building details, and the petitioner or representative and attorney where listed. The person who filed is not automatically the person who can sign a deed. From $0.15 per record. Full guide: Probate lists in Polk County, FL.
Pre-probate lists
Pre-probate sits earlier on the clock: the owner has died but no estate case is on the docket. Death vests heirs' rights in intestate property (s. 732.101), and a will must be lodged with the Clerk within 10 days of the holder learning of the death (s. 732.901). The file pairs the deceased owner and date of death with property, mailing address, parcel and valuation facts, and an heir or survivor name where available. It has no case number, because there is no case. From $0.15 per record. Full guide: Pre-probate lists in Polk County, FL.
Inherited property leads
Inherited leads begin after title has moved. The listing is built from estate transfer and deed records and pairs the deceased owner with the heir, the transfer date, assessed value, estate status, the heir's mailing address, years held, property type and lot size. Homestead rules (s. 732.4015) and the limits on a representative's power to sell (s. 733.613) mean the heir named may not be the only signature a buyer needs. Stock is limited and sold monthly for now. From $0.15 per record. Full guide: Inherited property leads in Polk County, FL.
Code violation lists
A code violation list names owners of properties tied to local enforcement matters. The recent Polk listings describe owner name and property address, mailing address, assessed value, parcel number and property type, plus code-specific fields. They are titled only "Polk County" and name no issuing agency, and we promise no case status or fine amount. Each file covers its period, not every case ever opened. From $0.14 per record. Full guide: Code violation lists in Polk County, FL.
Foreclosure lists
Florida foreclosures are judicial: all mortgages are foreclosed in equity (s. 702.01). The Clerk's Foreclosure Sales page says all sales are conducted online through RealAuction, and a sale is generally set 20 to 35 days after judgment (s. 45.031). The Polk file includes owner, both addresses, parcel ID, Date of Auction, total assessment, building facts and, where one exists, an available bid amount. Check the auction date before every mailing. From $0.10 per record. Full guide: Foreclosure lists in Polk County, FL.
Pre-foreclosure lists
Pre-foreclosure covers the stretch between a lender's lawsuit and the auction. A suit burdens real property against outsiders only when a notice of lis pendens is recorded in the county's official records (s. 48.23), and a lender may ask for an expedited show-cause hearing (s. 702.10). The newest Polk listing names owner and property address, mailing address, assessed value, parcel number and property type, and does not name the exact court paper behind each row, so sample it first. From $0.15 per record. Full guide: Pre-foreclosure lists in Polk County, FL.
How the six Polk County record types relate
The six lists are really three storylines: what happens after a death, what happens when a mortgage goes unpaid, and what happens when a property violates a local code. The table below places each list on those timelines. It is our reasoning about the process, not performance data.
| Storyline | Early stage | Middle stage | Late stage |
|---|---|---|---|
| After a death | Pre-probate: owner has died, no estate case yet | Probate: estate opened with the Clerk | Inherited: title moved to an heir |
| Unpaid mortgage | Pre-foreclosure: lender's suit, no auction yet | Court judgment and a sale date | Foreclosure: auction date on the record |
| Local code problem | Notice from an inspector (not in a file) | Hearing before a magistrate (not in a file) | Code violation: the matter appears in the period's file |
Stacking Polk County lists
To stack, look for parcels that turn up on two or more lists. Match on parcel ID, since owner names are spelled many ways, and remove repeats before you count. Combinations worth a closer look:
- Code violation plus an estate list: a house of an owner who has died and that also carries an enforcement matter may be a burden to the family. Write gently.
- Code violation plus pre-foreclosure: two pressures on one parcel, which usually moves it up your queue.
- Estate list plus pre-foreclosure: a mortgage may be in play while an estate is open, so expect attorneys to be involved.
- Same parcel across time: a pre-probate name can become a probate case and then an inherited transfer. Tag each parcel once and record the stage reached.
A stacked parcel is still only a list entry until you work it; lists vs leads in real estate explains the gap.
Which Polk County list should I buy?
Match the list to the person you want to reach and the job you can do for them. These are starting points, not guarantees.
| Your goal | Start with | Add later | Caution |
|---|---|---|---|
| Wholesale an off-market deal | Pre-foreclosure, code violations | Foreclosure, probate | Confirm who can legally sign. |
| Reach owners with the most lead time | Pre-probate, pre-foreclosure | Probate | Early records carry no case detail. |
| Buy and hold rentals | Inherited, code violations | Probate | Heirs may not be the only owners. |
| Fix and flip | Code violations, foreclosure | Inherited | Inspect condition yourself. |
| List homes as an agent | Probate, inherited | Pre-foreclosure | Families may need time and a gentle tone. |
| Offer estate cleanout, staging or moving | Probate, pre-probate | Inherited | Lead with service, not a sales pitch. |
| Do cleanup or repair work | Code violations | Pre-foreclosure | Verify the case is still open. |
| Market for an attorney | Probate, pre-foreclosure | Pre-probate | Check Florida Bar advertising rules. |
| Trial the county on a small budget | One weekly file, plus a free sample | A monthly file | One small week is a thin test. |
What a Polk County file looks like and how to buy
Every row represents one record, with a header row you can map into a spreadsheet, mail merge or CRM. Column sets differ by type, as the newest Polk listing for each type shows:
| List | Columns the listing names |
|---|---|
| Probates | Filing date and case number, decedent, property and mailing addresses, parcel ID, assessed value, building details and use, petitioner or representative, attorney |
| Pre-probates | Deceased name, date of death, heir or survivor name, addresses, parcel ID, value, year built, bedrooms, bathrooms, property use |
| Inherited | Property and parcel, deceased owner, heir, transfer date, assessed value, estate status, heir's mailing address, years held, property type and lot size |
| Code violations | Owner and property address, mailing address, assessed value, parcel and property type, code-specific fields |
| Foreclosures | Document type, owner, addresses, parcel ID, Date of Auction, total assessment, building facts, available bid amount |
| Pre-foreclosures | Owner and property address, mailing address, assessed value, parcel and property type, pre-foreclosure fields |
Phone numbers and emails are not part of the default files. Weekly and monthly files carry what was added or updated in their period, not the county's full history.
- Ask for a sample. Use the free samples page and check the header row against your CRM.
- Open the collection. Pick the type: probates, pre-probates, inherited, code violations, foreclosures or pre-foreclosures. The Polk County search shows everything at once.
- Choose a period. Buy a week or a month, and compare formats on the data formats page.
- Download and import. Remove duplicates by parcel ID before you mail.
- Verify, then reach out. Check the owner of record and the case status with the Clerk or the code office.
- Repeat on a rhythm. If the first batch works, move to a subscription so new files arrive without gaps.
Limits of any list. A row records a filing, not a wish to sell. It cannot show that a default was cured, a violation corrected or an auction cancelled since the period closed. Treat each one as a cue for a courteous question.
Polk County lead list pricing
What does a Polk County list cost? The starting rate is $0.15 per record for four types (probates, pre-probates, inherited, pre-foreclosures), $0.14 for code violations and $0.10 for foreclosures. Your file price is records x rate, so the period you choose sets the total.
| List type | Price basis | From rate | Where to look |
|---|---|---|---|
| Probates | Per record; weekly and monthly files | $0.15 per record | Probates collection |
| Pre-probates | Per record; weekly and monthly files | $0.15 per record | Pre-probates collection |
| Inherited | Per record; monthly files at present | $0.15 per record | Inherited collection |
| Code violations | Per record; weekly and monthly files | $0.14 per record | Code violations collection |
| Foreclosures | Per record; weekly and monthly files | $0.10 per record | Foreclosure collection |
| Pre-foreclosures | Per record; monthly files at present | $0.15 per record | Pre-foreclosures collection |
We print no recent listing prices for Polk County. Weekly and monthly files both exist, a month can cost more or less than the month before because filings vary, and tiny weekly files would make any table misleading. Exact current prices are on each product page in the collections and in the Polk County search.
Discount routes and add-ons
- Subscriptions: weekly or monthly plans are on the subscriptions page; this guide quotes no plan prices.
- Bundles: several counties or list types together through combo deals.
- Volume: bigger orders bring the effective rate down.
- Codes: a discount code can take a file to its from rate.
- Skip tracing: Standard is $0.10 per record and Premium $0.15 per record (see the skip tracing page). DNC scrubbing is available on request.
Worked example (illustration, not market data): imagine a starter order of 100 pre-probate records at $0.15 (100 x $0.15 = $15.00), 100 code violation records at $0.14 ($14.00) and 100 foreclosure records at $0.10 ($10.00). The files come to $39.00. Standard skip tracing on 50 of the rows would add 50 x $0.10 = $5.00, for $44.00. The counts are round numbers chosen for the arithmetic.
Compliance and respectful outreach
- Calls and texts: federal Do Not Call rules reach sales calls, and the FTC's telemarketer Q&A tells sellers to refresh their lists against the registry at least every 31 days (the registry is at donotcall.gov). Florida adds a state no-sales-solicitation list, consent rules for some automated calls and coverage of texts in s. 501.059.
- Owners in foreclosure: s. 501.1377 addresses conduct toward homeowners in residential foreclosure, so read it and consult an attorney before offering services.
- Public does not mean welcome: s. 119.01 makes government records open to inspection, yet it says nothing about how you may approach the people those records name.
- Fair housing: never include or skip anyone on a protected characteristic.
- Tone: behind each row is a bereavement, a lawsuit or a repair order. Introduce yourself, keep the offer plain, honor a request to stop, and write to the attorney or representative when one is named.
This is general information, not legal advice.
Common mistakes with Polk County lead lists
- Reading a filing as consent to sell.
- Ruling out a record type after a single thin week.
- Buying before looking at a sample header row.
- Expecting one office to speak for every Polk city on code matters.
- Mailing a foreclosure owner without rechecking the auction date.
- Negotiating for an estate or inherited home before learning who may sign.
- Repeating a summary administration dollar limit from memory when sources differ.
- Forgetting that Florida foreclosure runs through a court case.
DIY records, a prepared file, or a national platform
| Route | Strength | Trade-off |
|---|---|---|
| Work the public sources yourself | No purchase; you read the originals. | Repeated searches across the Clerk, code offices and appraiser, plus matching and cleanup each period. |
| Prepared Polk County file from ListCentral.US | One county and period, already matched to property data, bought when needed. | Limited to the period you buy; contact numbers need the skip tracing add-on. |
| National subscription platform | Wide coverage across states. | You do the filtering, and a recurring fee continues for a one-county focus. |
Polk County real estate lead lists: FAQ
How much do real estate lead lists cost in Polk County, FL?
On ListCentral.US, probate, pre-probate, inherited and pre-foreclosure lists start at $0.15 per record, code violation lists at $0.14 and foreclosure lists at $0.10. A file costs its record count times that rate, and the exact current price appears on each product page in the collections.
Which Polk County lead lists can I buy?
Six types are in stock: probates, pre-probates, inherited property, code violations, foreclosures and pre-foreclosures. Each comes from a different kind of public record. Eviction and divorce lists are not currently listed for Polk County, so this guide does not cover them.
Which Polk County list suits a wholesaler?
None wins for everyone. Wholesalers often begin with owners facing a deadline or a bill, such as pre-foreclosure, foreclosure or code violations, and then look for a second signal on the same parcel. Request free samples of two types, compare columns and buy one period of the better fit.
How do probate, pre-probate and inherited lists differ in Polk County?
They catch three moments of one story. Pre-probate follows an owner's death before any estate case exists. Probate follows an estate already opened with the Clerk. Inherited follows a transfer to heirs, so the heir is on the record. Each list reaches a different person.
How do pre-foreclosure and foreclosure lists differ?
Pre-foreclosure covers homes where a lender has sued but no auction has happened yet. Foreclosure covers cases that already have an auction date, which is why that file carries a Date of Auction column. Pre-foreclosure offers more lead time; foreclosure is nearer the deadline.
Is it legal to use a Polk County lead list?
The filings are public records, and buying a prepared file is routine. The legal questions are about contact: federal Do Not Call rules, Florida's telephone sales statute, fair housing law and truthful mail. This is general information, not legal advice, so have your own attorney review your plan.
How fresh are the Polk County files?
ListCentral.US states that its data is updated daily, and weekly files are refreshed by the close of Thursday. Polk files are sold as weekly or monthly periods, and each listing names the period it covers, so you can judge freshness before checkout.
Why are some Polk County weekly files small?
One week of new filings in a single record type can be a modest number of rows, which is normal for a county-level product. It also makes a week an inexpensive trial. For steadier volume, buy the monthly file or subscribe, and judge the record type on that larger sample.
What format are the files?
Files are digital downloads that open in Excel and Google Sheets and import into most CRMs. The Polk listings describe CSV delivery, and some mention Excel as well. Look at the free sample's header row before ordering, and see the data formats collection for details.
Are phone numbers and emails included?
Not in the default files, which carry names, property and mailing addresses and record details. That makes direct mail the natural first step. Skip tracing is an add-on at $0.10 per record (Standard) or $0.15 per record (Premium), and DNC scrubbing is available on request.
Can I see sample Polk County records first?
Yes. The free samples page lets you request sample records. Use them to test how the columns map into your CRM or mail merge and to judge address quality before you spend anything on a period.
Does ListCentral.US sell Polk County eviction or divorce lists?
Not at the moment. The six types in this guide are the ones in stock for Polk County. ListCentral.US also has a separate city page about eviction leads in Bartow, but that is a city page rather than a Polk County file.
Does Polk County run a single code enforcement office?
No. Florida lets each county and city choose how to enforce its codes. Polk County runs a unit from Bartow, and cities such as Winter Haven and Bartow publish their own code pages. A code violation file may therefore mix sources, so sort rows by city and parcel.
Could I assemble these lists myself?
Yes, in principle. The Clerk holds court cases and Official Records, local governments hold code cases and the Property Appraiser holds parcels. The cost is effort: every source has its own search and access rules, and each result must be matched by parcel, cleaned and reformatted every period.
Do subscriptions, bundles or discounts apply to Polk County lists?
Yes. Weekly and monthly subscriptions, bundles of counties or list types, larger orders and discount codes can bring a file down to its from rate. This guide quotes no subscription prices, so check the subscriptions page, the combo deals page and the collection for current options.
